Call for Expression of Interest for Artisans to sell their products in the MICAS Gift Shop

Introduction

MICAS notifies that it is issuing an Expression of Interest from artisans to sell their products in the Gift shop inside the new Malta International Contemporary Art Space for a period from 1st October 2026 till 30 September 2028.

MICAS is cordially inviting artisans to submit their proposals and register their interest in creating and selling their art/products at the MICAS gift shop in terms of this Expression of Interest.

 

Instructions to Prospective Artisans

General Instructions

  1. For the purposes of this Expression of Interest, “artisans” refers to individuals or small enterprises creating handcrafted or artistically designed products. MICAS encourages participation from artisans; however, submissions from non‑artisanal suppliers may also be considered where the proposed products complement the MICAS Gift Shop’s offering or fulfil identified retail needs. MICAS reserves the right to select products from either category at its sole discretion.
  2. In submitting an offer, the prospective artisans accept in full and in its entirety, the content of this Expression of Interest, including any subsequent clarifications issued by MICAS, irrespective of any conditions that the said artisans might include in their own
  3. Prospective artisans are expected to examine carefully and comply with all the instructions, requirements, and terms and conditions contained in this Expression of
  4. Prospective artisans are to duly fill in, endorse, and submit the Application Form contained in Annex 2 of this Expression of Interest together with the required supporting docume Failure to submit an offer containing all the required information and documentation within the deadline specified herein may lead to the rejection of the offer. Offers containing incorrect information and/or missing the necessary supporting documentation would automatically be rendered invalid and will not be considered any further.
  5. Prospective artisans are to ensure that the contact details they give in the aforementioned Application Form pertain to the person who, if successful, shall enter into an agreement with MICAS for Artisans to sell in the high-end Gift shop.
  6. In submitting an application, artisans undertake that their offer shall remain valid for a period of ninety (90) days from the submission deadline indicated in Section 2 below.

Any clarification requests and/or the completed applications need to be submitted via email at the following address: procurement@micas.art indicating the following text in the subject field:

Expression of Interest   for Artisans to sell their products at the MICAS Gift shop.

The opening schedule shall be on the MICAS Website www.micas.art in the order of how the applications were received. Only the name of the artisans who submitted an offer under this

Expression of Interest shall be displayed on the said opening schedule; no prices shall be

listed on such schedule.

Late and/or incomplete applications will not be considered.

 

Requirements

  1. Applicants will only be eligible for the provision of a designated small area within the Gift shop.
  2. Each applicant may bid once to sell their products
  3. The submission is to include all of the following:
  4. A duly filled-in list of items being offered (Annex 1) (Choose appropriate table for item being offered)
  5. Duly Filled in Application Form (Annex 2)
  6. Duly filled in Declaration Form (Annex 3)
  7. Photos of the Proposed Products
  8. Vat Certificate
  9. The Checklist duly signed (Annex 4)

 

Should one and/or more of the above requirements and/or fields be missing and/or incomplete, the submission shall automatically be rendered invalid and will not be considered further.

Each submission will be treated in strict confidence by the selection board and evaluated as per the below evaluation criteria:

Spaces will be awarded according to MICAS and the gift shop requirements. Some

artisans maybe put on a reserve list and contacted at a later date.

MICAS reserves the right to select and/or reject any or all the submitted offers as necessary to fulfill the needs outlined in this Expression of Interest document. Should the submission be considered satisfactory, MICAS reserves the right to assign the designated shop area to other artisans who were not necessarily involved in this Expression of Interest. The decision of MICAS in this regard is final and binding.

 

Terms and Conditions

Products

  1. MICAS is seeking offers from artisans who can offer high end products
  1. Offers should include a selection of items at different budget levels.
  1. Any changes to the artistic concept proposed, including pricing, needs to be approved by MICAS beforehand to ensure adherence to the
  1. Each item must clearly be displayed with an itemised price, at all times, in a prominent area where it is easily viewable by the public. The prices offered should reflect the current market.
  1. The artisans must only sell items as approved by MICAS and shall abide by the instructions given by the MEEE, before, during, and/or after the event as well as comply with all the regulations at the
  1. The artisans must ensure that their products are of the highest quality.
  1. The artisans must comply with MICAS shop
  1. Packaging should be kept in accordance with the Brand, approved by MICAS and Artisans willing for their products to be put into a MICAS bag subject to sale.
  1. MICAS reserves the right, at its sole discretion, to consider and accept proposals that include alternative supply arrangements, including outright purchase, where such arrangements are deemed to offer exceptional value, operational efficiency, or alignment with MICAS’ retail objectives. While consignment is the preferred model for MICAS, respondents may propose either consignment or non-consignment terms. All proposals should clearly outline the commercial structure being offered, including pricing, stock management, and any commission or revenue-share elements where applicable. Submission of an Expression of Interest does not constitute a commitment by MICAS to enter into any supply agreement, whether on consignment or otherwise.

SetUp and Dismantling

  1. If the selected participant/s is/are found to be in breach of the above-mentioned terms and conditions, MICAS may request it/them to discontinue the sales with immediate effect. In such an event, the said participant/s will not be entitled to any compensation and shall be liable to settle any fines incurred by the competent local authorities. Any court proceedings resulting from any such breaches shall be entirely borne by the participant/s concerned.
  1. MICAS reserves the right to terminate the contract at any time and shall in so doing, not be necessarily obliged to provide a reason for the termination.
  1. All relevant Maltese Laws must be observed by the selected participant.
