Call for Expression of Interest for the Provision of Part-Time Administrator (Retail) within the Malta International Contemporary Art Space (MICAS)

MICAS is looking for a dynamic and experienced Part-Time Administrator (Retail) to work closely with the team to realise the MICAS vision and mission.

 

Background

MICAS is designed to strengthen Malta’s cultural infrastructure by providing a platform for contemporary art and internationalisation.

MICAS is not only a showcase for local contemporary artists but also collaborates with international institutions to present ground-breaking works by acclaimed artists from around the world. MICAS aims to energise Malta’s cultural ecology and positively impact the wider Euro-Mediterranean region.

Our mission is to advocate for contemporary art by raising public awareness of its significance in modern life and highlighting how art and artists help interpret and shape the world we live in.

MICAS is a Government of Malta infrastructural legacy project for the Culture and Arts sector.

 

Services Needed

The Administrator (Retail) reports to the Manager (Retail), Financial Controller and Chairperson and will be required to assist the Manager (Retail) in the MICAS Gift Shop, serve customers, look after the merchandise, process sales transactions, monitor the activities of people in the gift shop, and resolve customer issues.

 

Main Responsibilities

  • Serve as the main point of contact for customers in the shop.
  • Assist customers by answering their questions, checking stock availability, and processing their purchases.
  • Handle customer complaints, product returns, and any other in-store issues that may arise in a professional manner.
  • Operate the cash register and any other technology related to the POS system (e.g., company computer, tablet, etc.).
  • Inform customers about special promotions and deals to encourage them to purchase MICAS’s products and/or services.
  • Ensure the shop is clean, tidy, and organised at all times.
  • Monitor company stock levels and restock when necessary or inform the Retail Manager if something is out of stock.
  • Perform stock-related duties, including returning, packing and labelling stock items.
  • Carry out periodic stock-taking exercises as required or requested by the Retail Manager.
  • Perform any additional duties as requested by the Financial Controller, the Retail Manager and the Chairperson.

 

Working hours

The Administrator (Retail) will cover shifts of Administrators (Retail) when on sick or vacation leave, up to 20 hours per week. Required hours include evenings, weekends and public holidays.

 

Skills and Requirements

By the closing time and date of this expression of interest, applicants must have:

–  MQF Level 3 in Mathematics, Maltese, and English OR three (3) years’ work experience in a general office or cashier role.

–  Clean police conduct.

–  Well-developed interpersonal, organisational, presentation and communication skills (written and oral in Maltese and English) and customer service skills.

–  Knowledge of general office practices/procedures and basic accounting methods for the daily handling of shop cash.

–  Ability to work independently or as a member of a team on assigned duties with minimum supervision.

–  Must be willing and able to work irregular hours, on weekends and on holidays on a shift basis. 

–  Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with retail management software.

 

Contract for Service Terms

Payment: Hourly fee of €10.13 excluding VAT. Sundays and public holidays are paid at an hourly rate of €20.26.

Entity Class Allowance at an hourly rate of €0.17. Shift Allowance at an hourly rate of €0.63.

Contract: This is a three (3)-year ‘Contract for Service’ that has the possibility of being renewed for a further one (1) year.

 

Working Hours: This is on a part-time basis to replace an Administrator (Retail) when on vacation or sick leave. Additional working hours may be necessary to meet the requirements of this job position, especially during MICAS events. The responsibilities and required interactions of this position are not conducive to remote work.

Eligible applicants will be requested to attend an interview to be assessed on their suitability for the duties mentioned.
