MICAS is looking for Videographers to provide Videography services covering MICAS Events Programme throughout the year 2025/26. The Events Programme includes various events between February 2025 and February 2026.
EVENTS Programme 2025:
22 & 23 March | Joana Vasconcelos Book Launch |
29 & 30 March | Open Weekend at MICAS. 29-30 March |
21 & 25 May | Expo |
16 & 17 July | Inauguration of Malta Now Exhibition |
July | The Build Exhibition |
October | Inauguration of Milton Avery Exhibition |
The above dates are provisional and will be confirmed by MICAS to the awarded bidder once these are confirmed.
Requirements & Deadlines
Videographers are required for these events and additional activities surrounding the events for live streaming and filming as per deliverables list.
Videographers must be on location up to two hours prior to start of each event and cover until the end.
Videography covering these events will be used for MICAS Social Media Marketing, Website (including archive) and Promotions.
The main tasks are listed as follows:
Live Streaming
The entirety of the Art Talk Keynote Speakers + Panel Discussion + Q&A on a dedicated setup and a separate microphone for Malta Now Exhibition, MICAS Build Exhibition and Milton Avery Exhibition.
Edited version of the Livestream of Art Talk Keynote Speakers + Panel Discussion + Q&A on a dedicated camera and a separate microphone for:
Deadline for delivery of edited livestream recording will be 24 hours after the event.
Vox Pop
Film Vox Pops as directed by MICAS team during the following events:
Deliverables are to be handed in 24 hours after the event.
Filming
Filming of the following events:
Produce the following deliverables for the above-mentioned events:
Separate filming of all event speeches given by VIPS during the launch reception, Inauguration receptions and all Art Talks on a dedicated equipment set up and produce raw footage of all speeches.
Separate Film and Audio recording of On-site Tour with the artists for:
Produce the following deliverables for the above-mentioned events:
Film the entirety of the Art Talk including the Keynote speakers, panel discussion and Q&A on a dedicated equipment setup separate from live stream for the following events:

Quotations for this brief must be valid for the duration of the contract.
Videographers will submit all videography, including raw footage, in high quality MP4. All raw footage is to be handed in on hard drives supplied by MICAS.
All Videographers are required to sign a Non-Disclosure Agreement (NDA) and a Contract of Service. The contract of service will include an assignment to MICAS of the copyright and intellectual property rights in the deliverables.

Duration of the Contract
The performance period of the contract shall be of one year from signature of contract and to include commitments and deliverables for events and exhibitions in the year 2025/26 as per MICAS Events Programme.
Payments
This is a fee-based contract.
Payments will be affected on a monthly basis on the presentation of the original signed fiscal invoice, which is to be countersigned and verified for correctness by MICAS.
Payments are to be affected within 30 days from the certification of invoice.
Clarification requests
The interested persons may submit any clarification requests to MICAS by sending an email to procurement@micas.art by not later than Friday 7th March 2025.
The interested persons are advised that clarification notes, interpretations, correction or changes to the EOI will be uploaded on www.micas.art/get-involved -get-involved Section.
The interested persons are advised that any clarification notes, interpretations, correction or changes to the EOI will constitute an integral part of this EOI and it is the responsibility of the bidders to ensure that the website is reviewed regularly prior submitting their offer.
Submission of offers
Interested persons who are eligible to apply are to indicate their interest by sending all the requested documents under requirements by sending an email to procurement@micas.art by not later than noon of 14th March 2025 indicating the subject and reference of the EOI (MICAS/EOI/004/2025).
Interest submitted by other means will not be considered.

Emails submitted after the Closing Date for the submission will not be considered. No liability will be accepted for rejection of late quotations.
This EOI does not constitute an offer to enter into any contract with MICAS. MICAS will in no case be responsible or liable for such costs or expenses incurred by prospective bidders, whatever the conduct or outcome of the competitive procedure initiated pursuant to this EOI, including cancellation.
Selection and Award Requirements
In order to be considered eligible for the award of this expression of interest, interested applicants must provide evidence that they meet or exceed certain minimum criteria described under Skills and Requirements Section of this EOI.
The contract will be awarded to the interested person submitting the most satisfying Skills and Requirements requested in this EOI.

Each submission will be treated in strict confidence by the selection board and evaluated with cheapest compliancy option taking preference and as per the below evaluation criteria:

Pass mark: 60 Total marks: 100
MICAS reserves the right to select and/or reject any or all the submitted offers or to select multiple submissions as necessary to fulfill the needs outlined in this Expression of Interest document. Should none of the submissions be considered satisfactory, MICAS reserves the right to assign the job to another service provided who were not necessarily involved in this Expression of Interest. The decision of MICAS in this regard is final and binding. The cheapest compliant offer will be awarded the said Expression of Interest.
