Call for Expression of Interest for the Provision of Part-Time Events Coordinator within the Malta International Contemporary Art Space (MICAS)

MICAS is looking for a dynamic and experienced part-time Events Coordinator to work closely with the Events & Logistics Department. MICAS hosts exhibitions, performances, private functions, conferences, and community events, welcoming different audiences.

 

Background

MICAS is designed to strengthen Malta’s cultural infrastructure by providing a platform for contemporary art and internationalisation.

MICAS is not only a showcase for local contemporary artists but also collaborates with international institutions to present ground-breaking works by acclaimed artists from around the world. MICAS aims to energise Malta’s cultural ecology and positively impact the wider Euro-Mediterranean region.

Our mission is to advocate for contemporary art by raising public awareness of its significance in modern life and highlighting how art and artists help interpret and shape the world we live in.

MICAS is a Government of Malta infrastructural legacy project for the Culture and Arts sector.

 

Services Needed

MICAS is seeking a motivated and detail-oriented Events Coordinator to support the events team. The successful candidate will have a hands-on presence during events, mainly early mornings, evenings and weekends, ensuring all aspects of operations run smoothly. From set-up to dismantling, the Events Coordinator will serve as the key liaison between clients, MICAS’s internal maintenance and operations teams, and the Events & Logistics Manager.

This is a dynamic role that requires flexibility, excellent communication skills, and the ability to remain calm and professional in high-pressure situations.

 

Main Responsibilities

  • Oversees on-site event logistics at museum venues, including set-up, live event management, and dismantling.
  • Serves as the primary point of contact for clients during events, ensuring their needs are met promptly and professionally.
  • Coordinates closely with the maintenance and operations teams to ensure seamless event delivery.
  • Monitors timelines, troubleshooting issues, and provides real-time solutions.
  • Upholds the museum’s service standards and ensures client and guest satisfaction.
  • Maintains accurate records of event details, feedback, and operational notes for reporting.
  • Supports the Events & Logistics Manager with planning and post-event evaluations.

 

 

Working Hours

The selected applicant will be working up to 30 hours per week as required in early mornings, evenings, weekends and public holidays. S/he may also be required to work additional hours, including evenings,  particularly in the lead-up to and during MICAS’s events.

 

Skills and Requirements

By the closing time and date of this EOI, applicants must be in possession of:

  • Ten (10)-year work experience in event coordination, hospitality, or a related field. Experience in a cultural or heritage venues will be considered as an asset.
  • A recognised qualification at MQF Level 5 in Hospitality, Tourism or Events Management (subject to a minimum of 60 ECTS/ECVET credits or equivalent) will also be considered as an asset
  • Strong organisational, problem-solving, and multitasking skills.
  • Excellent interpersonal and communication abilities.
  • Valid driving licence.
  • Confidence in handling client relationships and managing expectations.
  • Flexibility to work evenings, weekends, and other irregular hours as required by event schedules.
  • A proactive, team-oriented attitude with the ability to work independently when needed.
  • Fluency in both Maltese and English.

Contract for Service Terms

Payment: The service will be remunerated at an hourly fee of €13.00 excluding VAT.

Contract: This is a three (3) year ‘Contract for Service’ that has the possibility of being renewed for another one (1) year.

 

Working Hours:

  • The work schedule is on a part-time basis, providing support for events held in the early mornings, evenings, weekends, and on public holidays.
  • Events may be held on any day and may require long hours.
  • Additional hours may be required to meet the demands of this role, particularly during MICAS’s events.
  • The responsibilities and required interactions of this role are not conducive to remote work.
